Proposal: Creation of a new Ethical Hacking Society position: Events Coordinator
Proposer: Callan Garratley
A vote was held regarding whether the proposal should be accepted on 16 January 2018. A majority exceeding 25% of the regular attendance agreed to holding a vote.
This proposal seeks to amend the society's constitution to create a new, non-executive position.
Governance, Officers and Committee § 1 would be amended to read:
The minimum number of members of the Society’s Committee shall be a President, Vice President, Secretary , Treasurer, and Events Coordinator.
Further, a new section would be created under Governance, Officers and Committee titled “Role of the Events Coordinator” which would read as follows:
The person in this position will be responsible for the generation and execution of different events that are both related and unrelated to the society. For example, they will lead the exploration and implementation of external visits, events and activities that members can enjoy.
1. Any paperwork or contact required for the events proposed will be primarily handled by the Events Coordinator
2. The Events Coordinator is responsible for the creation and organisation of a variety of events, big and small to promote engagement within the society between members and year groups
3. When present for the activity, they are responsible for the health and safety/first aid of the members WHEN required
4. While responsible for the organisation of the majority of events, the events coordinator is not responsible solely for the organisation of Securi-Tay
Following the Student Association's guidelines for committee members, this position will not be an executive position. As such, the official will not have the right to issue funds requests or represent the society at Society Council, in addition to other powers reserved by the SA for executive members. Further, the official will not be involved in the day-to-day management of the society and will instead focus on events/activities .
The proposer has additionally requested that the position be created effective immediately. Should the vote pass, the secretary will immediately announce an emergency EGM due to the society no longer fulfilling its duties under the amended constitution. A newsletter will be sent out within two working days requesting self-nomination for the new position. This second EGM would be held on 14 February 2018, with the winner of the vote coming into power immediately.
The executive committee have decided the occupier of the new position would not be involved in the organisation of Securi-Tay 2018. This is due to the unexpected nature of the proposal and the lack of time between the committee member coming into power and Securi-Tay (approximately two weeks). Additionally, there is concern that introducing a new organiser (who has little context) so soon before the event would lead to a poor external image of the conference's professionalism.
Further, the elected member would only retain power until the end of August 2018. The position will reopen for self-nominations two weeks prior to the society's AGM (date tba), along with the executive committee positions.
Vote failed to pass. 12 in favour, 29 no, 1 abstain.
